Upload Profiles

Upload Profiles are pre-configured templates that apply consistent settings to your video uploads. They streamline the upload process by automatically setting privacy, folder assignment, categories, and other metadata.

What are Upload Profiles?

Upload Profiles allow you to create different upload configurations for different scenarios. Instead of manually setting privacy, folder, and metadata every time you upload, profiles apply these settings automatically.

How Upload Profiles Work

When you upload a video, you select an upload profile. The profile automatically applies:

  • Privacy Settings: Public, Private, or Unlisted
  • Vimeo Folder: Where the video goes on Vimeo
  • Default Category: WordPress category assignment
  • Default Gallery: Add to specific gallery
  • Embed Preset: Player configuration
  • Metadata Template: Default title/description format

Creating an Upload Profile

Step 1: Navigate to Upload Profiles

  1. Go to Vimeify → Upload Profiles in WordPress admin
  2. Click Add New

Step 2: Configure Profile Settings

Profile Name:

  • Give it a descriptive name
  • Example: "Client Portal Uploads"

Privacy Setting:

  • Public: Anyone can view
  • Private: Only you can view
  • Unlisted: Only those with the link can view

Vimeo Folder (optional):

  • Select destination folder on Vimeo
  • Keeps videos organized
  • Leave blank to skip folder assignment

Default Category (optional):

  • Assign WordPress category automatically
  • Helps with organization and filtering
  • Leave blank to skip

Default Gallery (optional):

  • Add to specific gallery automatically
  • Perfect for auto-updating collections
  • Leave blank to skip

Auto-Publish:

  • Yes: Videos appear immediately
  • No: Videos saved as draft for review

Step 3: Save Profile

Click Publish to save your upload profile.

Using Upload Profiles

During Upload

When uploading a video:

  1. Click Upload Video in Vimeify menu
  2. Select Upload Profile from dropdown
  3. Choose the appropriate profile
  4. Select your video file
  5. Upload - profile settings apply automatically

In Forms (Pro)

When using WPForms or Gravity Forms:

  1. Add Vimeo Upload field to form
  2. Select default upload profile in field settings
  3. Users' uploads automatically use that profile
  4. No manual configuration needed

Managing Upload Profiles

Editing Profiles

  1. Go to Vimeify → Upload Profiles
  2. Click on profile name to edit
  3. Update settings
  4. Click Update

Note: Editing a profile doesn't affect previously uploaded videos.

Default Profile

Set one profile as the default:

  1. Edit the profile
  2. Check Set as Default
  3. This profile will be pre-selected during uploads

Deleting Profiles

  1. Go to Vimeify → Upload Profiles
  2. Hover over profile name
  3. Click Trash
  4. Confirm deletion

Note: Deleting a profile doesn't delete videos uploaded with it.

Best Practices

1. Create Specific Profiles

Don't try to use one profile for everything. Create specific profiles for specific purposes.

Good:

  • Client ABC Profile
  • Tutorial Videos Profile
  • Marketing Videos Profile

Avoid:

  • General Profile
  • Default Profile
  • Videos Profile

2. Name Profiles Clearly

Use descriptive names that indicate purpose.

Good Names:

  • "Private Client Reviews"
  • "Public Tutorial Uploads"
  • "Contest Submissions 2024"

Poor Names:

  • "Profile 1"
  • "New Profile"
  • "Test"

3. Match Privacy to Purpose

Consider who needs to see the videos.

  • Public: Tutorials, marketing, public content
  • Unlisted: Shareable links, client reviews, limited sharing
  • Private: Internal videos, pending review, confidential

4. Organize with Folders

Use Vimeo folders to keep content organized.

Example Structure:

5. Review Before Publishing

For user-submitted content, use profiles with Auto-Publish disabled.

Workflow:

  1. User uploads → Profile saves as Draft
  2. Admin reviews video
  3. Admin publishes if approved
  4. Admin rejects if not approved

Tutorial Videos Profile

Settings:

  • Name: Tutorial Videos
  • Privacy: Public
  • Folder: Tutorials
  • Category: Tutorials
  • Auto-Publish: Yes

Use For: Educational content meant for public viewing

Client Review Profile

Settings:

  • Name: Client Reviews
  • Privacy: Private
  • Folder: Client Uploads
  • Category: Client Feedback
  • Auto-Publish: No

Use For: Client-submitted videos requiring review

Marketing Content Profile

Settings:

  • Name: Marketing Assets
  • Privacy: Unlisted
  • Folder: Marketing
  • Category: Marketing
  • Auto-Publish: Yes

Use For: Marketing videos for embedding on landing pages

Internal Training Profile

Settings:

  • Name: Internal Training
  • Privacy: Private
  • Folder: Training
  • Category: Training
  • Auto-Publish: Yes

Use For: Internal team training materials

Troubleshooting

Profile Not Applying Settings

Check:

  • Profile is saved and published
  • Profile is selected during upload
  • API connection is active
  • User has permission to upload

Videos Going to Wrong Folder

Verify:

  • Correct Vimeo folder selected in profile
  • Folder exists in your Vimeo account
  • API token has folder access permissions

Default Profile Not Working

Solutions:

  • Only one profile can be default
  • Check "Set as Default" is enabled
  • Clear browser cache
  • Re-save the profile
